The City of Coventry Swimming Club (COCSC) based in Coventry, Warwickshire is looking for a Swim School Assistant to join our thriving team, working 37.5 hours per week. This role will be based at the main office in Alan Higgs Leisure Centre, Coventry. Lessons will need to be attended where required, on weekends and evenings at sites within Coventry.

We are looking for an enthusiastic person who is passionate about swimming but also looking for the next step in their career, to grow within the industry and has an entrepreneurial streak.

Coventry Swim School is a key Learn to Swim (L2S) provider that creates an environment where teaching is fun. Coventry Swim School offers high-quality swimming lessons to adults and children from across Coventry. Many of our swim teachers have competed at a high level and are passionate about giving back to the sport by helping the next generation learn to swim. All Teaching Staff are Swim England Level 1-qualified Swimming Assistants and Level 2-qualified Swimming Teachers, have RLSS lifeguarding qualifications and have all been DBS checked and verified.

COCSC is a charity that operates in providing swimming provision to all. From Learn to Swim to Competitive Swimming for all ages. This role would be employed by COCSC but working with Coventry Swim School.

The Swim School Assistant (SSA) will report to the Swim School Manager (SSM) This person will be responsible for assisting in managing all areas of the Swim School. The SSA will be part of a team that includes both office-based staff and poolside staff, such as self-employed Swimming Teachers, Assistant Swimming Teachers, and Young Volunteers.

Working closely with the SSM, the successful candidate will ensure our high standard of quality is met throughout Learn to Swim and the pathway into the City of Coventry Swimming Club programme. This person will need to ensure quality is at the forefront, whilst supporting the SSM in achieving key performance indicators and financial targets.

We are looking for someone who can use their initiative to identify problems and work through them. The line management of the Swimming Teachers and Swimming Teacher Assistants as well as Young Volunteers will sit with the SSM but could potentially in time be shared between the SSM and SSA. This includes recruitment, observation, quality assurance, development, compliance, health and safety of delivery, rotas and cover.

The SSA is responsible for the day-to-day administrative tasks, ensuring delivery is compliant and of a high standard. The SSA will be the first point of call for all customers and deal with enquiries, emails, calls, bookings and movements. The SSA  will be key to assisting the SSM in delivering on all areas of the programme and includes lesson planning, programme planning, teacher training and observations, teaching and cover.

This role will assist the SSM in supporting and ensuring the successful operation of the Learn to Swim programme. It involves a high focus on day-to-day administrative tasks but also offers the exciting opportunity to work poolside as a teacher and help develop the poolside team.

This role will have a diverse and exciting range of duties to complete and manage and will at times be asked to take on additional tasks required by colleagues and managers.

The SSA will assist in maintaining the relationship with Swim England and working to their programme, helping develop and manage relationships with the partners and community groups.

The successful candidate should be proficient with computers in particular have experience using Microsoft Excel and have strong communication skills. An eye for detail is vital, and a dedication to completing tasks to the highest of standards is essential. This position requires an organised individual who can communicate effectively with others. The ideal candidate should also be able to identify potential issues and provide solutions to resolve them. This role will entail evening and weekend work, hours will be managed within the 37.5 hours a week.

Applicants must be willing to undergo child protection screening appropriate to the post, including checks with past employers and the Disclosure and Barring Service.

Key Responsibilities:

  • Assist the SSM in delivery of all areas relating to the Learn to Swim programme
  • Support the SSM n supervising and upskill our Swim Teachers, Teaching Assistants and Young Volunteers to ensure high-quality instruction and adherence to safety protocols.
  • Assist the SSM with the implementation of development plans and strategies for the Swim School
  • Marketing strategies to attract new swimmers and retain existing ones.
  • Manage the day-to-day administration of the Swim School with support from the SSM
  • Maintain accurate records of swimmer progress and communicate with parents/guardians on a regular basis.
  • Collaborate with other departments to coordinate pathway links and programs.
  • Teach on poolside on either a regular basis, as a lead teacher, observer or cover. Hours to be determined.
  • Develop and work on the swim school website and social media platforms.
  • Run and support on leading on the Friday night sessions, referred to as Club Night, where the Learn to Swim and Club run side by side.
  • Be part of an 'on call' rota alongside the SSM during evenings and weekends. This responsibility includes addressing issues at the venues, as well as concerns involving teachers or swimmers. This will include speaking to venues, teachers, parents and occasionally teaching.
  • Required to teach as needed, on a regular or ad hoc basis. This role will have weekly teaching hours as well as office hours.

Responsibilities and duties include:

  • Be responsible for the day-to-day administration requirements of Coventry Swim School.
  • Ensure resources are used to maximum efficiency and all classes are adequately and correctly staffed.
  • Ensure that all Learn to Swim lessons are operating at maximum efficiency to achieve target income and minimum usage levels.
  • Ensure that the appropriate information relating to the Learn to Swim scheme is disseminated to Learn to Swim teachers, members and partners.
  • Be responsible for the administration of Course Pro, bookings, calls, emails, and movements.
  • Be responsible for updating the website and social media platforms.
  • Supply reports on the scheme from the system as necessary.
  • Assist the SSM in internal training and meetings for Learn to Swim and Learn to Swim staff and volunteers.
  • Manage complaints and feedback and log and report these to the SSM.
  • Implement all Learn to Swim processes and procedures.
  • Stay updated and attend Continued Professional Development (CPD) sessions and offer CPD to the Learn to Swim (L2S) team as instructed by the Manager with your guidance. Ensure all staff are trained and qualified relevant to their roles, and ensure any qualifications are renewed on time without lapsing.
  • Assist in effectively recruiting and developing Swimming Teachers and Assistant Swimming Teachers to deliver consistent and exceptional service.
  • To keep abreast, attend and offer CPD to the L2S team as instructed by the Manager with guidance.
  • Ensure all staff are trained and qualified relevant to their posts and ensure any qualifications are retaken in time and do not lapse.
  • Assist in effectively recruiting and developing Swimming Teachers and Assistant Swimming Teachers to deliver a consistent and exceptional service.
  • Be a teacher on poolside at sessions as well as act as emergency cover for any lessons which cannot otherwise be covered.
  • Undertake all aspects of administration of the swim school, linking in with other departments and roles within COCSC and Coventry Swim School.
  • Ensure that all equipment is appropriate and of a good standard and order replacements as necessary.
  • Be responsible for all swimmer’s safety and welfare within the pool.
  • Ensure all safeguarding procedures and policies are being adhered to in relation to the Learn to Swim environment.
